POWERZONE NELSON TERMS & CONDITIONS

Elim Christian Centre is committed to providing a safe environment with a positive level of care and supervision at all times as required by the OSCAR Standards duty of care.
By enrolling your child in PowerZone you acknowledge and agree to the following:
Behaviour
- Your child is to abide by the Holiday Programme rules, co-operate with staff and respect other people’s property. You understand that their failure to do so may result in your paying for any damage caused or your child being sent home for unsafe behaviour.
Bookings/Fees
- You understand that once your child’s Holiday Programme booking is confirmed, you are liable for all associated fees.
- Payment in full is required prior to the start of care unless applying for OSCAR subsidy, when a 20% deposit is required.
- A minimum of one week’s notice must be given for cancellation. No refund is given for absences or cancellations made less than a week before the day of care.
- Please refer Fees Policy below for further information on cancellations, late fees, absences and refunds.
- If you select the PayNow option, this will incur an additional 2.4% card processing fee, which is automatically added to the transaction. This fee is set by EzyPay.
Childcare Subsidy
- PowerZone Nelson is an OSCAR (Out of School and Recreation) approved childcare provider. Work & Income OSCAR subsidy is for children aged 5-13 years. You can find out whether you qualify for assistance with childcare costs by visiting the Working for Families Website
- A 20% deposit is required for booking, when applying for subsidy. Once subsidy has been received, any credit will be notified to the parent. Refunds will be processed within 5 working days after confirmation of account details by the parent/guardian.
- If your Work & Income subsidy application is declined, you will be liable for the full amount of the fees.
Permissions
- Your child participates in the PowerZone Holiday Programme at your own risk. PowerZone is only responsible for children while signed into the programme.
- You give permission for your child to attend activities that occur outside the PowerZone Holiday Programme venue as outlined in brochure in accordance with the Excursion Policy (see below).
- You consent to the collection of the registration details by PowerZone to run the holiday programme and to meet OSCAR requirements and associated regulations. This information will be used for your child's health, safety and funding statistics. You acknowledge your right to access and make correction to this information. This consent is given in accordance with the Privacy Act 1993.
Photos
- By agreeing to photo tagging, you consent to your child’s photo being taken and used in the AimyPlus photo gallery available on the parent portal (visible to other registered users of PowerZone parent portal), in social media updates and/or advertising.
- Should you wish to authorise some but not ALL of these, then please do not tick yes to photo tagging. Instead email us on powerzone@elimnelson.nz and we will put the appropriate note on your child’s file.
Sickness/Medical
- You understand that PowerZone cannot accept children when they are sick. If your child requires medication during the programme, you are required to complete a medication form. You authorise PowerZone to administer to your child non-prescription medications (such as Paracetamol) ONLY on receiving verbal consent in accordance with PowerZone’s Medication Administration Procedure (see below)
- You will notify PowerZone if your child develops an infectious disease/notifiable illness during/directly after attending a programme. Once notified, PowerZone will assess the potential exposure risk. PowerZone will notify and may widely publicize, without naming or identifying any child, any common infectious diseases which children may have been exposed to during their time in the programme.
- In the event of an accident or emergency, you authorise PowerZone to seek such advice or treatment as it deems necessary in the best interest of your child.
Programme
- All our programmes have a daily teaching time where our team get to inspire the kids with good moral examples, lessons and stories from The Bible that children can apply to their life.
- Activities may be subject to change without notice.
Sign in/out
- Doors open at 8:30am. No drop-off is allowed prior to this time.
- Entry is through main doors only.
- You must physically accompany your child and sign them in and out.
- Late pick-ups will incur additional charges as per our Fees Policy (see below).

Excursions Policy
Policy for off-site transportation
The main method of transport for any PowerZone programme excursions will be chartered bus. Parents will be informed before their children are transported in private vehicles. Vehicles used to transport children must comply with all mandatory legal requirements. All drivers must hold a current, clean driver’s license and must agree to drive in a safe and responsible manner.
Procedure for off-site activities
- On the excursion day, the details of where the group is at what times, will be held at the Elim Christian Centre Nelson
- The staff/child ratio will be 1:8 and 1:6, if around water. Children will be put into groups with one adult/staff member whose primary responsibility will be the safety of that group.
- The first aid kit, mobile phone and children’s emergency information will be taken on all excursions.
- A risk analysis plan will be made of all excursions. This will include emergency procedures and staff responsibilities during emergencies. The Coordinator/Supervisor will carry a First Aid Kit
- The Coordinator/Supervisor will plan all outings and the coordinator/supervisor will carry a mobile phone for emergencies.
- This procedure will be followed for all trips that take children off the programme’s home base including the immediate vicinity.
- Trips will be made by bus or van, where possible.
- Children will not be allowed to participate on an excursion unless parents/guardians have given permission. Parents will be notified in advance of all activities planned away from Elim Christian Centre. A planned schedule will be available on-site.
- Where there is access to a swimming pool or any large body of water, the children will be supervised at all times by an adult who is trained in water safety and resuscitation.
- Recognised agencies and/or qualified instructors will be used to instruct all outdoor pursuits.
- Outside the Elim Christian Centre grounds, staff will only allow the children to go to the toilet in pairs. If using public toilets an adult will stand outside.
- A contingency plan will be prepared before all activities in case of bad weather.
- The children will be organised into a “buddy system” when on walks and will walk double file with one adult leading and one in the rear. When it is necessary to cross a road then pedestrian crossings will be used if they are available. One adult will stand in the middle of the road to ensure that traffic is stopped before children begin to cross and will remain there until all children are safely across the road.
- When on an excursion a list of the children participating will be left at the Elim Christian Centre Nelson office. This information will also include the group’s whereabouts and the expected time of return.

Fees Policy
- All fees must be paid in full on confirmation of booking or before the first day of Programme by prior arrangement.
- A deposit of 20% is required for families applying for Work & Income OSCAR subsidy – this is refundable depending on amount of Subsidy received.
- The fee structure will operate as follows: $50 per child (8.30am-4.30pm); $5 per child for extra hour of care (4.30pm-5.30pm)
- A late fee of up to $1.00 per minute per child is incurred where children are picked up later than their booked end time. The final rate applied is at the discretion of PowerZone.
Procedure for the Payment of Fees
- Invoices are generated automatically in AimyPlus on confirmation of booking.
- Electronic payments are preferred, using PayNow or bank transfer. Account details are provided on the top of invoices.
- Fees can be paid in cash at Elim Christian Centre Nelson office. All cash payments will be receipted at payment.
- All payments will be entered into AimyPlus at least weekly.
Refunds
- No refunds are given for absences or cancellations notified less than one week prior to the day of care.
- Cancellations made with more than one week’s notice will not be charged and a full refund of any outstanding credit will be offered.
- Where care is cancelled by PowerZone, due to inability to provide care, a full refund will be offered.

Medication Administration Procedure
This procedure is for the Administration of Medication by staff in Non-Emergency Situations. It does not refer to emergency situations. Under the Crimes Act 1961, Section 151, everyone has a duty to provide the necessaries of life, which could include first aid until medical professionals arrive or until parents/guardians are contacted.
- Prescription medication will be administered at the parent’s request and under a doctor’s instruction.
- Prescription medication quantity will only be supplied at a week at a time.
- Storage will be safe and secure at all times (e.g. in a high cupboard out of children’s reach, and locked away in the office, where appropriate).
- Prescribed medication will only be administered once the Parents /Caregivers complete and sign medical consent form
- Instruction on the administration of medication is to be well documented on the medication form. Key staff will receive any training required, and only trained staff will be authorised to administer specific medication.
- Each time the prescribed medication is administered the medication form will be signed.
- It will be the parent/guardian’s responsibility to inform the Coordinator/Supervisor of any change in the child’s medical circumstances.
- Before non-prescription medicines (such as Paracetamol) are administered to children, a parent/caregiver must be contacted and verbal permission received. A medical consent form must be completed by the staff and signed at pick up by the parent/caregiver. This will state the name of the child, administering staff member (and signature), what was taken, when it was taken and how much was taken.
